Privacy Policy

This policy explains how INFLUXED Developments Inc. ("we") handles information in INFLUXED EvenSteven (the "Application"), a private bookkeeping tool used for our own business. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Information we process

• Account information: the email address of the authorized user, sign-in times, and failed sign-in attempts (IP address) for security.
• QuickBooks Online data: with authorization through Intuit's OAuth, the chart of accounts, vendors, customers, tax codes, transactions, and attachments of the connected company. OAuth tokens are stored encrypted.
• Financial records we import: bank and credit card statements and exports, including transaction descriptions, amounts, and counterparties (for example, names on e-Transfers).
• Supporting documents: receipts, invoices, screenshots, and notes uploaded or emailed to the Application.
• Client and billing information (when invoicing is enabled): client names, email addresses, time entries, and invoices.

How we use it

Only to keep the books of the business: categorizing transactions, matching receipts, reconciling statements, preparing and sending invoices, posting entries to QuickBooks Online, and meeting record-keeping and tax obligations. We do not sell data, use it for advertising, or share it for others' marketing.

Service providers

• Intuit (QuickBooks Online): the accounting system the Application connects to.
• Vercel (hosting and file storage) and Neon (database).
• OpenRouter and the AI model providers it routes to (such as Anthropic): used to read receipts and suggest categories. Requests are sent with data-collection opt-out so providers do not retain or train on them where that option is supported.
• Resend: sending invoices and receiving forwarded emails (for example, payment notifications).

These providers may process data outside Canada, including in the United States.

Retention

Books and records, including supporting documents, are kept for at least six years from the end of the tax year they relate to, as the Canada Revenue Agency requires, and longer where needed for an audit, objection, or appeal. Disconnecting QuickBooks Online stops further access; data already in the books is retained under this requirement.

Security

Access requires authentication. Data is encrypted in transit (TLS) and at rest by our providers; integration tokens are additionally encrypted by the Application. Access is limited to authorized users.

Your rights

You may ask to access or correct personal information we hold about you, or withdraw consent where that does not conflict with legal record-keeping duties. Contact info@influxed.ca.

Changes

We may update this policy; the effective date above shows the latest version.
